2023 Winter Camp Registration

December 18-21 (Monday-Thursday)

General Information

Registration is on a first come first served basis.

Ages: 7-12 years old. StringTime is perfect for students with no experience and those who play at level VBDOA Grades 1-2 or are in Suzuki books 1-3. Our flexible curriculum and highly skilled teachers ensure all students are challenged and inspired. 

Sessions: Students choose one instrument per session: violin, viola, OR cello.

Dates and Times: StringTime Winter Camp lasts 4 days (December 18-21). Check-in is from 9:00-9:15am. Camp ends at 4:45pm. Any student who is dropped off before 9:00am or not picked up by 5:00pm will be billed $50. 

 

Concert: StringTime campers and faculty will perform in a concert on December 21 at 5:00pm. Family and friends are encouraged to attend. Reception to follow. 

 

Deposit: $75 due upon registration. The deposit becomes non-refundable after October 1. 

 

Tuition: An invoice will be sent via email with the remaining tuition balance within 48 hours of registering. The balance is due by December 1st. 

  • Early Bird Tuition (through November 5th): $390

  • Regular Tuition (starting November 6th): $490

  • Sibling Discount: 15% discount

  • Friend Discount: Receive $50 off tuition for each friend who registers

Attendances and Absences: StringTime does not prorate or refund for absences. If a camper needs to arrive late or leave early, please email info@stringtimemusic.com to let us know.

Refunds: No refunds will be issued after December 1st. Students who drop between December 1st-10th may receive a credit towards a future StringTime program. Any student who drops on or after December 11th will not receive a credit or a refund. 

 

Session Cancellation: StringTime reserves the right to cancel any session that does not meet sufficient enrollment. In this event, participants will receive a full refund.

 

Registration Closes: When the program is full.

Food: Students must bring their own lunch, snack, and water bottle to camp each day.

 

Dress Code: Camp is casual. Please note, cellists hold the instrument between their legs. Students should dress accordingly. All students must wear jeans and their StringTime provided t-shirts for the concert.

Parent Information

Instrument choice: Students must choose to learn violin, viola OR cello for each session.

Instrument loan (only for students who are borrowing an instrument from camp): Violins, violas, and cellos may be loaned to all StringTime campers at no additional cost. The instrument must be properly cared for and returned on the last day of the camp session in the same condition that it was received. In case of loss or damage to the instrument and/or all of its parts and accessories while in the possession of your child, the enrolling adult is responsible for the cost of repair and/or replacement of the instrument. Students may choose to take the instrument home each night or leave it at camp. 

Instrument Size: Children play on smaller instruments. Please measure your child and determine the proper size. All measurements are in inches. 

Violin and Viola Sizing: The measurement for violin is made of your child’s arm length.  To take the arm measurement:

  1. Have your child stand upright, with their left arm extended to the side, with their palm turned upward.

  2. Place the end of the ruler against your child’s neck

  3. Extend the ruler down your child’s arm to the middle of their palm

  4. Take the measurement to the middle of the palm

  5. Compare the measurement to the chart to determine the correct size. The chart gives a length range that is appropriate for each size.

  6. If the measurement is “close, but not quite…” chose the smaller size. It is easier to play and learn on an instrument that is smaller rather than on one that is too big.

Cello Sizing: Correctly sizing a cello is a little more difficult.  Cello sizing is determined by a combination of measurements.  A combination of the following charts may be used as a guide to determine the correct size cello for your child. 

Left Hand Finger Width

Have your child spread his/her left hand fingers wide and measure the distance from the outside tip of the index finger to the outside tip of the pinky finger.

Knee to Ear

Have your child stand in front of a chair with his/her feet shoulder-width apart. Have the child sit up straight onto the chair. Their legs should be naturally spread and knees at a 90 degree angle. Measure the inside of the right knee to the opening of the left ear.

The most important of the four given measurements is “Left-Hand Finger Width”. If the left-hand finger width is not adequate, drop to the next lower instrument size until the left-hand finger width measurement is adequate. However, please do not “oversize” the instrument based on a proportionally larger left-hand finger width. Please email info@stringtimemusic.com if you have any questions. Student Safety

Approved pick-up adult(s): An approved adult is required to come in and check in/out your child each day. Please list who IS allowed and NOT allowed to pick up your children. 

This individual IS authorized to pick up my child.

Unapproved pick-up adult(s): This individual is NOT authorized to pick up my child.

Student conduct: If a student displays disruptive behavior which hinders the progress of a class, that student and his/her parents will receive one warning. If the behavior continues, the student will be asked to leave the program permanently with no refund granted. The following are examples of unacceptable behavior that will not be tolerated and will cause disciplinary action to be taken: hitting/fighting/causing physical harm; verbal assault or misconduct; profanity/disrespect to staff or participants; refusal to cooperate; violation of rules and policies; stealing; biting/spitting; temper tantrums; leaving facility grounds; and bullying.

Student Health

First Aid and Medical Emergencies: StringTime will have a first aid kit on site to handle minor injuries. If an injury is serious, camp staff will contact the parent or emergency contact provided. If the emergency is severe, we will call 911. 

 

Medication: StringTime staff DOES NOT administer medication. If your child requires medication administered during the camp day, you will need to come to the campus and administer the medication. In an anaphylactic emergency, an Epi-pen will be administered. 

Allergies: Please indicate your child's allergies below.

Mask policy: StringTime Music Camp will operate in accordance with the laws set forth by the Commonwealth of Virginia and the Episcopal Diocese of Virginia during the time of the camp. 

Sanitation practices: Students will not share instruments. The rooms will be cleaned each day. Students will be required to wash their hands frequently throughout the day. 

Sickness at camp: If your child is sick, stay home: If a student becomes sick during the day, we will isolate the child with adult supervision and call the parent to come pick him/her up. 

 

Covid exposure notification: If a student tests positive during the camp period, we will notify all of the StringTime parents via email and the student who has Covid may not return until a negative test. 

Agreement and Signature

I hereby certify that the above statements are complete, true, and correct to the best of my knowledge. By registering my child for StringTime music camp, I agree to all of StringTime LLC’s policies listed within this form. 

Photography: StringTime reserves the right to use photographs/videos taken of students during camp for promotional materials and on social media pages.


Release and Indemnity: Acknowledge and agree that I release and forever hold harmless StringTime LLC, Day Violins LLC, and Church of the Good Shepherd as well as their members, trustees, directors, officers, employees, agents, contractors and affiliates  (collectively, the “Released Parties”) from any and all claims or demands for personal injury, sickness, and death, as well as property damage and expenses, of any nature whatsoever, incurred by me or my minor child while participating  in events and/or while on property leased or owned by the Release Parties. I further  assume full personal responsibility for any loss of or damage to property to the extent caused by me or my minor child.  I also assume full personal responsibility for all medical bills for me or my minor child. I agree to indemnify the Released Parties from any and all claims and demands for personal injury or death as well as property damage and  expenses of any nature whatsoever arising out of the willful or negligent actions or omissions of me or my minor child. I  further hereby assume responsibility for all transportation costs related to my or my minor child’s dismissal from event, as applicable. 

 

Understanding: Represent and acknowledge that (1) I have completely read and understand this document and all  its terms and all matters referred to herein, and my signature below is my voluntary, free act and deed, (2) I have had ample opportunity to obtain the advice of counsel, (3) by signing this document, I understand that I am relinquishing legal rights and remedies that may have otherwise been available to me, (4) I understand that the above Releases shall  be construed as broadly and inclusively as is permitted by applicable law and agree that if any portion of this document is held invalid, the remaining shall continue in full force and effect, (5) to the extent any restriction on filing lawsuits is deemed unlawful, I agree to submit any claims to conciliation/mediation organization for binding resolution, and (6) a copy of this form as signed shall be treated as authentic and binding as the original, and a copy of same may be provided to venue.
